The Automation Starter Playbook: A Practical Guide for Using Low-Code Tools

When it comes to the topic of AI empowerment, I'm often asked: “How much tech knowledge do I actually need to get started?”
My answer: It’s not about knowing how to code. It’s about knowing your data and your goals.
We’re seeing a shift across every department, from comms to ops to success, where low-code tools like Make, Zapier, Copilot, and n8n are helping teams automate everyday processes without ever touching a line of code.
🧠 Why This Matters Now
AI and low-code tools are democratizing automation.
You no longer need to have access to a team of engineers to streamline your workflows. Communication and customer-facing teams are taking ownership of:
Campaign delivery timelines Internal feedback loops Status updates for leadership Manual reporting Lead routing Feedback tagging and categorization
And yet, many still waste hours on these tasks every week. Not because they want to, but because they don’t know where to begin.
🛠️ The Automation Starter Playbook
In my work with customers, I’ve seen a clear pattern: 80% of time is preparing the data and defining the workflow you need, 20% is the automation in itself.
Here’s a step-by-step guide to get you started:
Step 1: Define Your Repetitive Tasks
Start by noting down the top 3 tasks you repeat every week. Hint: If you've ever thought "why am I still doing this manually?" — write that one down.
Step 2: Understand the Purpose
What is the task for? Who needs the result? Internal? Client? Leadership? This helps define the output format and quality.
Step 3: Identify the Data Sources
Where is the data you need? A Google Sheet? Slack? A CRM? Your inbox? This is often the part people overlook.

Step 4: Map the Gatekeepers and Rules
Before you start building, get clear on two things: who controls the data and tools, and what rules apply.
Who owns the data/tools you need? Do you have the access rights? Can you get them? Are there API limitations? Who owns the data or systems you need? IT? Legal? Marketing Ops?
Congratulations, the first steps are done! Now you can start building your automation.
Step 5: Sketch the Workflow First
Draw it on paper or use a whiteboard tool. No tools yet! Just: “When X happens, I want Y to follow, and Z to be notified.”
Step 6: Choose Your Tools
For visual workflows, consider Make, n8n, or Zapier. For embedded AI, try Copilot or ChatGPT + Google Sheets. Start with what you're comfortable using!

Step 7: Test, Learn, Iterate
Expect bugs. Build in feedback. And don’t aim for perfection. 70% automation is better than 0%. Scale as you learn.
And last but not least:
Step 8: Speak the Language of ROI
Measure the impact:
- How many hours did we save?
- Did we reduce errors, delays, or feedback loops?
- Did we improve our NPS, reduce churn, or speed up delivery?
- Is this automation contributing to key KPIs or OKRs?
Translate outcomes into numbers, where you can. That’s what turns scrappy side projects into strategic initiatives.
Even qualitative benefits matter — like “our team feels less burned out” or “our customers are happier.” But always translate those wins into a business-friendly frame. That’s what turns hands-on experiments into strategic, fundable initiatives.

💡 Bonus Tip: Find Your Internal Superuser
One of our clients recently said her biggest breakthrough came before automation — when she finally found the one person in her team who really knew how their custom CRM worked. There’s always someone who knows the history, the quirks, the workarounds. If you’re not sure where to start, ask around. Your best automation guide might already be on your Slack.
